DEALER PROCEDURES

  1. Only Keystone Record Collectors (KRC) members with paid membership for the current year, and in good standing, are eligible to set up at the Pennsylvania Music Expo (DUES: $15/calendar year).
 
  1. Table holders, upon arrival at each show (between 7-9 a.m.), must check in with the Show Coordinator at the KRC club table.
 
  1. Set up is between 7 a.m. and 9 a.m. the day of the show. No sales are to be transacted outside the building. Because our show is advertised 9 a.m. to 3 p.m., we strongly urge dealers to remain set up until the conclusion of the show. The show ends promptly at 3 p.m. Dealers must have all merchandise out of the building by 5 p.m. There will be no exceptions. Violators of 5 p.m. rule will lose set-up privileges for a period of six months at which time they may appeal for the opportunity to set-up again. A bi-monthly KRC business meeting is held at 3:30 p.m. after the close of the shows in January, March, May, July, September, and November.
 
  1. Space is available on a first come, first served basis. The cost per (6 ft. X 2 ½ ft.) table is $35. All tables MUST be covered with some type of covering. (The club also has some available for sale.)
 
  1. Table rent is payable in ADVANCE when the reservation is made. THERE ARE NO REFUNDS, and, in the event of your canceling WITHIN 72 HOURS of the show, we cannot carry your money over for a later date unless we are able to sell all the spaces for the show from which you canceled. To be guaranteed space for the next show, rent must be prepaid by the end of the present show. FOR DEALERS WANTING TO SET UP FOR THE FIRST TIME: paid membership DOES NOT guarantee space at any particular show. We will accommodate as availability occurs; table reservations may be made by calling the phone reservationist at: 717-898-1246.
 
  1. DEALER PARKING IS LOCATED ON THE WEST (RIGHT SIDE) OF THE SHOW VENUE. THERE ARE SIGNS INDICATING THE PROPER AREA. 
 
  1. KRC assumes any dealer space NOT OCCUPIED by 9:30 a.m. on the day of the show is available to persons on the waiting list (and those who come with merchandise), unless the dealer notifies the Show Coordinator in advance about a late arrival. Show Day Emergencies: Call the Show Coordinator at: 717-515-7223, between 6:30 am and 3 pm. This number IS NOT to be used at other times.
 
  1. Each dealer MUST sign a dealer disclaimer sheet the first time he/she sets up at the show.
 
  1. Dealers may not overlap merchandise into spaces that are unoccupied at the time. Absolutely no merchandise in the aisles (overflow may be placed under or behind table(s)). PLEASE CONSULT SHOW COORDINATOR WITH QUESTIONS.
 
  1. Each dealer is responsible for leaving his/her table area in the same condition as originally found, this includes cleaning of up ANY debris you left. Failure to do so will result in losing the opportunity to rent table(s) at future KRC shows.
 
  1. THE KEYSTONE RECORD COLLECTORS, INC. IS NOT RESPONSIBLE FOR FEDERAL, STATE, OR LOCAL TAXES. Each participant is responsible for his/her own. Also, KRC DOES NOT PERMIT the sale of any unauthorized recordings, videos, or DVD’s.
 
  1. There shall be no open display of pornographic merchandise. Because the club strives to maintain high standards and customers are of all ages, this type of material is undesirable. Any questionable merchandise on display will be subject to the approval of the KRC officers.
 
  1. Smoking, alcoholic beverages, illegal substances, disorderly conduct, and profane language will not be tolerated. Animals, except for seeing eye dogs, are not allowed in the building. Violation of any of these may be grounds for dismissal from the show and/or club.
 
  1. Dealers are encouraged to have an ample supply of bags for merchandise sold. Dealers are advised to have needed change available for transactions.
 
  1. Sound level on record, tape, video/DVD, and CD players MUST be kept low and confined to the immediate table area.
 
  1. NO ONE is permitted to use amplified equipment for paging at the show, except for the official club announcer. If used, it will be confiscated until the end of the show.
 
  1. Vehicles may not be left in the fire lane/loading zone. It is ABSOLUTELY NECESSARY that everyone unload immediately and then move his/her vehicle to the designated dealer parking lot. IF YOU WANT TO SHOP BEFORE UNLOADING, DO NOT PARK IN THE UNLOADING AREA UNTIL YOU ARE READY TO UNLOAD. VIOLATION OF THIS STIPULATION COULD RESULT IN A DEALER FORFEITING HIS/HER SPACE(S) AT UPCOMING PENNSYLVANIA MUSIC EXPOS.

Talking Points on the PA Music Expo Move


Hosted by the Keystone Record Collectors

 

♪ The new venue is the Pennsylvania Jaycees Bingo Hall at 2460 New Holland Pike, (PA 23), Lancaster (in the Leacock, Leola area)

♪ It is exactly 5 miles east of Lancaster Catholic, about an 11 minute drive. (4 miles east of US 30) 

♪ The room is 6,200+ square feet, smoke-free AND air conditioned!

♪ There are approximately the same number of tables (95+, 2½ x 6 foot tables)

♪ With the move, there is no increase in table rent!   

♪ There are 87 parking spaces at the building that is also occupied by the Pennsylvania Fabric Outlet. (There is no parking in front of their main entrance.)

♪ Overflow parking is accommodated by using Lancaster Laboratories parking. 

♪ There is a special parking lot for dealers, on the west side of the building.

♪ There are two sets of load/unload doors into the room.

♪ The building features flush load in/load out with no steps to navigate.

♪ Dealer table location will be as close as possible to the current configuration, allowing customers to easily find them.

♪ Dealers must leave their area clean or be fined or not asked to participate again.

♪ A functioning Public Address system is used to make announcements throughout the day.

♪ There is space for an on-site vendor (outside) providing food, snacks, and beverages.

♪ Other food options in the area include: Golden Market (Fulton bank ATM), Leola Restaurant, Rosario’s Pizzeria, Dunkin’ Donuts/Baskin Robbins. There is also a Blue Ball Bank ATM in the Meadowbrook Shopping Center.

♪ There are 20,000 - 25,000 vehicles traveling past the show site each day*.

♪ Lodging is available at: Sunset Valley Motor Inn, phone 717-656-2091, website: http://www.sunsetvalleymotel.com/  It is located under a mile from the show venue.
